A project is the container for everything you track — accounts, assets, transactions, benchmarks, market data sources, import presets, tax presets, taxonomies, and every setting under Settings. Nothing crosses between projects: a second one starts empty, and no report or total can span two of them.
Most setups need exactly one, with accounts, account folders, and tags separating portfolios, entities, or family members inside it. See tracking multiple entities and accounts for when a second project is worth it.
Creating and switching projects
Switch project — in the main menu and the top-right menu — lists every project on your account, and Add new project at the bottom of that list creates one. Switching takes the same login, with nothing to export or reload.
The one decision worth making deliberately is on the create form: how the project is encrypted. With my User Password, With a Project Password, With Remote Key and Don't encrypt differ in who can decrypt the data and in what happens if you forget the password — see how encryption works before you pick.
Renaming a project
Go to Settings → General, edit the Name field, and click Save. The same page holds the Description and the Project Currency. Renaming changes the label only — assets, transactions, and history are untouched.
Project name and description are not encrypted
Don't store important identifiable information in them.
Deleting a project
Deletion is permanent. Export the project first from Settings → Export, then delete it from Settings → General → Danger zone → Delete this project, or from the delete button beside it in the Choose project to open list.
A deleted project cannot be recovered
There is no trash to restore it from, and support can't bring it back. The export you took beforehand is the only copy.
How many projects your plan includes
Sailor includes 1 project, Navigator 5, and Captain unlimited — current figures are on the pricing page. Accounts, account folders, and tags are unlimited on every plan, so organising inside one project never costs an upgrade. Assets are the one count that is capped: Sailor allows 50, Navigator and Captain any number.
Projects, entities, and other people
A project belongs to one login. Capitally is single-user today — no seats, no invitations, no read-only role — because the key that decrypts a project is derived from your own password, so there is nothing to hand a second person short of your credentials. A company, trust, or foundation portfolio works as long as one person operates it.
Which side of the line an entity belongs on comes down to one question: will you ever want a single number covering both? If yes, keep them in one project as separate accounts or account folders, since no total in Capitally spans two projects. If they must never appear in the same report, give each its own project. See Can two people share one Capitally portfolio? for what to do when the other person only needs to see the numbers.
Moving data between projects
Projects never merge on their own. Moving an account, splitting one project in two, or combining two into one is the same export-and-import round trip, covered in Exporting Data.
One switch matters when you import into a project you already use. Settings → Export ticks every object type by default, and Config among them is the project's own setup: currency, return options, cash tracking, saved filters, chart presets, and bookmarks. Importing it replaces the target project's equivalents. Untick Config before exporting unless you want the source project's settings to win.
